Billing software is really stock software
Shop owners usually shop for "GST billing software" because they need proper invoices. But billing is only the moment a sale happens. Every bill also changes your stock, your cash position and, if the customer buys on credit, what they owe you. Good software keeps all of that in step automatically.
Use this checklist whether you run a supermarket, a mobile and electronics shop, a hardware store, a cosmetics counter or an apparel showroom.
1. Fast billing at the counter
Look for barcode scanning and SKU or name search, so a cashier can bill a full basket quickly. Discounts and selecting a returning customer should take one or two taps, not a separate screen.
2. GST set once, applied every time
Entering GST on every bill invites mistakes. Better software applies GST automatically by product category, with an admin override for exceptions, and prints your GSTIN, invoice numbering and business details on every invoice.
3. Getting your products in quickly
A shop with thousands of items cannot type them in one by one. Check for bulk import from Excel or CSV, and for simple product entry when you add a few new items: name, price, GST, then stock.
4. Stock you can trust
Stock should go down with every sale and up with every purchase you receive. Low-stock alerts tell you what to reorder before it runs out. If you have more than one branch, you need stock tracked per branch and a record of transfers between them.
5. Purchases, suppliers and returns
Record stock received from suppliers, what you have paid them and what you have returned. This is what makes your stock figures and your profit figures believable. Customer returns and exchanges should also update stock and keep a clean record.
6. Customer credit
Many Tamil Nadu shops sell on credit to regular customers. Your software should keep each customer's purchase history, credit limit and outstanding dues, so collections do not depend on a notebook.
7. Payments and daily reports
Cash, UPI, card, credit and split payments should be recorded separately. At the end of the day you should see sales, expenses and payment mix without adding anything up by hand, and be able to export records for your accountant.
8. Access for staff, visibility for owners
Roles and permissions let cashiers bill without changing prices or deleting invoices, while managers and owners see reports. Cloud software lets the owner check the day's sales from a phone.
