Restaurant Billing Software in Chennai: What to Look For

A practical guide for Chennai restaurants, cafés and bakeries choosing billing software: dine-in, takeaway and delivery billing, GST, payments, menu changes and daily closing.

Why restaurants outgrow a basic billing app

Most Chennai restaurants start with a simple billing app or a calculator and a receipt book. That works until the lunch rush, when dine-in tables, takeaway orders and delivery-app orders all arrive at once and the counter becomes the bottleneck.

Restaurant billing software is meant to fix that bottleneck: faster bills, fewer mistakes, payments that reconcile at the end of the day, and a clear picture of what sold. If yours does not do these things, it is costing you more than its price.

Dine-in, takeaway and delivery in one place

A restaurant rarely sells in only one way. Check that the software can bill dine-in, takeaway and delivery orders from the same screen, so your cashier does not switch between systems and your reports show the full day in one place.

Ask the vendor to show you a busy-hour flow, not just a single bill. The number of taps it takes to complete a takeaway order matters more than a long feature list.

Menu changes without calling the vendor

Prices change, items run out and specials appear for a week. Your team should be able to add items, change prices, group items into categories and mark something unavailable themselves, in a minute, without waiting for support.

GST and payment modes

Every bill should carry the correct GST and your business details automatically. Look for software that lets you set GST by item or category, with invoice numbering and receipt details you control.

Chennai customers pay with UPI, cards and cash, and groups often split the bill. Make sure the software records cash, UPI, card, credit and split payments separately, so the day's totals match what is actually in the drawer and the bank.

Daily closing and expenses

The end of the day is where most restaurants lose track of money. Good billing software gives you a daily closing that shows sales by payment mode and lets you record food and kitchen expenses, so you can see what the day actually earned.

If you also sell packaged goods, such as a bakery with a retail shelf, check that food expenses and retail stock are kept separate rather than mixed into one list.

Staff roles and more than one outlet

Cashiers, managers and owners need different access. Roles and permissions stop a cashier from deleting bills or changing prices, and let the owner see reports from home.

If you plan a second outlet, choose software that already supports multiple branches, with each branch's sales visible separately and together. Moving systems later is far more painful than choosing the right one now.

Cloud billing vs. software on one computer

Cloud billing software runs in a web browser, so there is no local server to maintain, and owners can check sales from a phone. Ask how the system behaves if your internet drops during service, and how your data is backed up.
